1. Who we are
This website is operated by LeadGuideAi. In this policy, “we”, “us” and “our” refer to us. We are the data controller for the personal data described in this policy.
We are committed to protecting your privacy and handling your personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. You can contact us about this policy or your data by email at info@leadguideai.co.uk or through our contact page.
2. The information we collect
Information you give us
When you send us an enquiry through our contact form, we collect:
- your name and business email address;
- your company name, if you choose to provide it;
- the service you're interested in;
- the project details and any other information you include in your message.
Please don't include sensitive personal information (such as health details) in your enquiry. If you contact us by email or another channel, we'll also hold the information contained in that correspondence.
Information collected automatically
Like most websites, our hosting provider automatically records basic technical information when you visit, such as your IP address, browser type, the pages requested and the date and time of your visit. This is used to deliver the website securely and to diagnose problems.
We do not currently use analytics, advertising or tracking cookies. See our Cookie Policy for details.
Website chat assistant
If you use the chat assistant on our website, the messages you type are sent to our AI provider, Groq, Inc., to generate a reply. We save a copy of the conversation (your messages, the assistant's replies and the page you started on) so we can follow up on questions and improve our answers. We don't link chats to your identity unless you tell us who you are. Please don't share sensitive personal information in the chat — if you'd like us to get back to you, use our contact form instead.
3. How we use your information and our lawful basis
- To respond to your enquiry and discuss your project, including preparing an estimate. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in responding to business enquiries.
- To deliver our services if you become a client. Our lawful basis is the performance of our contract with you.
- To answer questions through our chat assistant. Our lawful basis is our legitimate interest in helping visitors find information about our services.
- To keep our website secure and working properly. Our lawful basis is our legitimate interest in operating a safe and reliable website.
- To meet our legal obligations, for example keeping accounting records. Our lawful basis is compliance with a legal obligation.
We will not use your details to send you marketing emails unless you have agreed to receive them, and you can opt out at any time. We never sell your personal data.
4. Who we share your information with
We only share personal data where it is necessary, with trusted service providers who help us run our business, such as:
- our website hosting provider;
- our database provider (Supabase), which stores enquiries and chat conversations;
- our AI provider (Groq, Inc.), which processes messages sent to the website chat assistant;
- the services we use to receive and manage enquiries (for example, email, CRM or workflow tools);
- professional advisers such as accountants or lawyers, where needed.
These providers may only use your data on our instructions and must keep it secure. We may also disclose information if the law requires us to do so.
5. International transfers
Some of our service providers may store or process data outside the UK. Where this happens, we make sure appropriate safeguards are in place — such as transfers to countries the UK recognises as providing adequate protection, or the use of the UK International Data Transfer Agreement or Addendum.
6. How long we keep your information
We keep enquiry information for as long as we need it to respond to you and to follow up on your project. Chat conversations are kept for as long as they help us answer questions and improve our service, and are then deleted. If you don't become a client, we will delete or anonymise your enquiry once it is no longer needed. If you do become a client, we keep project and contract records for as long as required for the work and to meet our legal, tax and accounting obligations.
7. Keeping your information secure
We use appropriate technical and organisational measures to protect your data, including encrypted connections (HTTPS) and restricting access to the people who need it. No method of transmission over the internet is completely secure, but we take reasonable steps to protect the information you share with us.
8. Your rights
Under UK data protection law, you have the right to:
- request a copy of the personal data we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete your personal data;
- ask us to restrict how we use your data;
- object to our use of your data where we rely on legitimate interests;
- ask us to transfer your data to another organisation, where applicable;
- withdraw your consent at any time, where we rely on consent.
To exercise any of these rights, contact us by email at info@leadguideai.co.uk or through our contact page. We will respond within one month. There is normally no charge.
9. Complaints
If you have concerns about how we handle your data, please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or by calling 0303 123 1113.
10. Changes to this policy
We may update this policy from time to time, for example if we introduce new services or tools. The “last updated” date at the top of this page shows when it was last revised.
